    1.Admission Policy: • All students enrolled in courses at Indian Institute of Commerce - Lakshya are only eligible for hostel accommodation. • Admission to the hostel is subject to availability of space. • Room inventory Form to be filled during check-in and check-out by the students in the hostel. • Students must fill out the hostel admission form provided by Roomindo App and submit it along with the required documents. Required documents include: 1. One passport size photo 2. Copy of Aadhar card • Admission will be confirmed upon submission of the required documents and payment of the registration fee and caution deposit 2.Check-in Policy: • Upon confirmation of admission, students must complete the check-in process within the specified timeframe. • Room allocation will be based on availability. 3.Vacating Policy: • Students must inform the hostel administration at least one month in advance before vacating the hostel in order to be eligible for the release of the security deposit. • Students should stay at the hostel at least one month. The caution deposit/ rent balance will be refunded only when the notice period has been completed. • Students must inform the warden via letter 30 days prior to vacating the hostel room. Additionally, students must obtain permission from the institution before vacating the hostel. • Prior to vacating, students must clear all dues and return hostel property (if any) issued to them. • Caution deposit will be refunded after deducting any outstanding dues or damages to the hostel property. 4.Transportation Policy: • Hostel bus timings will be communicated by warden to hostel residents. • Any changes or updates to the bus schedule will also be updated by warden. • Students are responsible for arranging their own transportation to and from the hostel if they missed campus transportation. 5.Issues Related to Parents/ Relatives/Visitors: • Parents/Guardians should give an undertaking to cooperate with the Hostel authorities and should be available on call as and when required and disclose all contact details. • Parents/Visitors are advised not to insist on entry beyond the designated area or visiting room as it shall disturb other students. • Visitors are allowed only during specified hours and must be registered with the hostel administration. • Visitors/parents are allowed to visit a student only in the visitor’s lobby on the service floor between 7.00 am to 06.00 pm. No student shall keep talking with visitors in compound, either in or outside the gate/lane. No student shall take any visitor including her/his parents to the room. Personal servants/Domestic helpers are not allowed inside the rooms. The parents should give an undertaking to cooperate with the authority and should be available on call. 6.Use of Furniture/Electronic/Electric items: • Fixtures: Students shall not bring any extra furniture or other fixtures into the room. All furniture and fixtures in the rooms allotted to students shall be kept as property. Students shall be required to pay double the original cost of any item found missing from their room. Students shall also be required to pay twice the repair charges for items that are found to have been wilfully damaged or have been damaged on account of misuse or unfair wear and tear. • Interchange of Furniture/Fixture: Students shall not interchange any furniture/ fixture from one point/location in the hostel to another. Besides a penal recovery, students involved in such activities shall be expelled from the hostel. • Theft or damage to hostel assets in common areas or corridors shall be recovered from all students. In case of theft or damage to items that pertain to usage by the complete hostel, recoveries shall be made from all the occupants of the hostel. • Allotted furniture and electrical goods can only be utilized in the rooms or hostel. 7.Hostel Rules & Regulations: • The hostel shall be treated as an extension of the Institution and observance of rules and regulations of the Hostel shall be compulsory for all residents. • The security deposit for a hostel room will be equivalent to one month's rent of the room chosen by the student or their parents. • Inspection to be done by Hostel administration. • The management reserves the right to terminate the occupancy of the student for any wilful disobedience or defiance of authority, non-observance, or frequent violation of hostel rules, causing damage to person or property or indulging in anti-national or undesirable activities. In such cases the deposit shall be forfeited, and fees will not be refunded except the mess charges on pro-rata basis. • The hostel management reserves the full right to amend or update the rules at any time without prior notice. • Hostel residents are expected to conduct themselves in a manner that is respectful towards fellow residents and staff. • A grievance redressal mechanism will be in place to address any issues or concerns raised by hostel residents. • During the vacation, belongings should be kept in the cupboard under lock, however, students may avail common storage facility. When the student has completed an academic year and is to vacate the hostel, student must take along all her/his belongings. • Strict silence shall be observed in the hostel from 10:00 p.m. to 6:00 a.m. Care should be taken at all times to ensure that music or loud talking is not audible outside. Any manner of festivities and noisemaking or celebrations will not be entertained, which may cause disturbance to other inmates on the hostel premises. Recreational facilities are to be turned off at 10.30 p.m. • Wi-Fi will be available only at specified times. • Non –hostelers are not allowed to stay in the hostel without prior information and approval from the authorities. • Change/Inter-Change of Room: A students shall not change/interchange her/his room with another student or shift into a vacant room without the previous written permission of the hostel warden. Warden/Head Hostel has the right to shift a student from her/his room to another room in the hostel at any time without assigning any reason. • Hostel fee payment shall be made on regular basis. The fee should be paid within 5th of every month. • If a student takes continuous leave for 15 days, ₹1500 will be deducted from the rent. If you are absent for the entire month, ₹2500 will be deducted. The remaining rent must still be strictly paid • Without permission, mobile phones are not allowed in the study hall. • All student’s mobile phones must be submitted to the warden during the night, and they will only be returned in the morning. • No functions or celebrations shall be organized except with the permission of warden. • No poster etc. would be put up anywhere, either in rooms or lobbies. • Students are not allowed to play any kind of sports inside the room or in the common area. • Allotment of the room, furniture etc. Will be entirely at the discretion of the warden. • Every student shall keep the room allotted to him/her clean and neat. He/she shall take proper care of the furniture and fixture handed over him/her. The hostel authorities have the right to enter and inspect the rooms at any time. Even the absence of students. • Students should not drive nails, screws or pasting stickers etc., into the wall for doors. No repairs shall be done by the students themselves. They should approach the warden who will arrange for repairs. • Students should have proper care of their belongs. They should not leave the key to the room anywhere around. Management will not be responsible of the loss of personal belongings of the student. • Smoking gambling in any form such as playing cards (even without money at stake), consumption of alcohol, use of drugs and narcotics and even possession of such things are prohibited. Anyone found indulging in the use of such things will not only be asked to vacate the hostel but also be rusticated from the institution. • Those who create disturbance to students will be first warned and the parents will be informed. After two warnings, the students will be sent out of the hostel – depending on the seriousness of the incident reported. • The institute/Hostel authorities will conduct surprise checks periodically and if anyone is found violating the above rules, disciplinary actions will be taken against them. • Parents can visit their ward in hostel with the permission of hostel warden before 06.00 pm. • Students are not allowed to use private electrical equipment and if they want to use other equipment, they must take permission of warden. • No student shall leave the hostel without prior permission of the hostel warden. • Students are not allowed to use personal vehicle. • Students should not write on walls, doors, and windows. If found he/she must face consequences. All residents must keep hostel neat and clean. • Students should register their names in entry register while going outside. • Lights and fans to be switched off when no one is in the room. • No student shall bring or store any explosive and inflammable goods on the premises of the hostel. • Hostel authorities will not be responsible for any loss of money, jewellery, or personal belongings of any student. Students are advised not to keep any cash/jewellery or any costly items in the room. • Students shall always treat the staff and housekeeping staff of the Hostel with due courtesy. Service of the housekeeping staff shall not be utilized for private or personal work. No tips in cash or kind will be given to the staff of the Hostel. • Students must stay for a minimum of 3 months. If this condition is not met, GST will be added to the rent. • Students must inform the warden one month before vacating, or their security deposit will not be refunded • Students must pay security deposit while joining the hostel itself to complete the admission process. • If students are taking leave, it must be updated through the Roomindo app. • Leftover or stale food should not be kept in the rooms. It must be properly disposed of in the designated dustbin. • All payments (rent, fees, and other payments) must be made exclusively through the Roomindo app. If students make payments by cash, it should only be given to hostel warden. Students must ensure that any rent payments made in cash are recorded in the Roomindo application. • There should be no financial transactions or other dealings between students and hostel staff. If any staff members make such requests to students, it must be immediately reported through the Roomindo application. • All complaints from students should be raised only through the Roomindo application. • All complaints and feedback must be posted on the Roomindo application with relevant photographs and detailed evidence. This must be done even after informing the warden personally. This process will help the management ensure that all complaints are addressed in a timely manner. • The management reserves the right to revise hostel fees every year. • To process the security deposit refund, students must provide their bank account details in the Roomindo app. Refunds will not be processed in cash. After vacating the hostel, it may take up to 3 to 4 working days to process and credit the security deposit refund to the account. • Students are not allowed to leave the hostel or remain outside the hostel after 7 PM • If students book the hostel by paying the security deposit or booking fee but do not join the hostel, ₹3,000 will be deducted and only the remaining amount will be refunded. • There is a strict prohibition against ordering food online or from outside sources. • The hostel will be closed on special holidays. • Meals will be served only during the mess timings. No food will be reserved for the late comers. • Everyone must have their meals in the mess only
